New user roles: Sales and Read-only


What's new

Vendor Users can now be assigned one of three role levels, giving you finer control over who can view information versus who can make changes in the portal.

RoleBest for
FullUsers who need complete administrative control (unchanged from today)
SalesAccount managers who adjust customer licensing but don't need technical access
Read-onlyAnyone who only needs to view reports and status, with no ability to make changes

The role level you assign determines what that Vendor User is allowed to do.

 


Read-only role

A view-only role with no ability to make changes.

Can do:

  • Run all available reports (License, Backup Status, Backup Onboarding)
  • Search, sort, and filter across all lists
  • Change their own password and set up their own multi-factor authentication
  • View and filter the Vendor Users page (no changes)

Cannot do:

  • Edit customer licensing or storage allocations, or any report settings
  • Impersonate another user
  • Perform any other administrative or operational action
     

Sales role

Everything Read-only can do, plus the commercial actions sales and account managers typically need.

Can do (in addition to Read-only actions):

  • Edit a customer's license and storage allocation, for vendors set up as direct resellers ("Can manage customers and licenses" enabled)
  • Add or edit a customer's VAT ID
  • Configure and edit email report settings, at both the vendor level and for individual customers

Cannot do:

  • Configure tenant settings
  • Configure single sign-on for users
  • Impersonate another user
  • Add new organizations or disable an existing one
  • Turn on Emergency Mode
  • Create, edit, or disable other Vendor Users (view only)
     

How to modify roles

  1. Go to the Vendor Users page and find the user in the list.
  2. Click the key icon next to their name to open Edit Vendor User.

  3. Choose the role from the Access level drop-down menu, then save.

Only Vendor Users with Full rights can do this.

 


Good to know

  • Only Vendor Users with Full rights can create new Vendor Users and assign them the Sales or Read-only role.
  • No one can change their own role to Sales or Read-only, and no one can remove their own account.
  • Existing Vendor Users keep their current Full access  nothing changes for them automatically.
  • Newly invited Vendor Users will still default to Full rights unless a Full-Rights user assigns them a different role.
