How to restore SharePoint and Teams files

You will learn how to search and restore SharePoint and Teams files. There are two ways to locate the files:

1. From the SharePoint & Teams files page, based on the location of the file. You can search or browse the sites/teams and their document folders. This option is described in here.

2. From the Teams chats page, based on the chat or channel where the file was shared. You can locate the chat/post where the file was shared, and enter the location of the shared files from there. This option is described in here.

1. Login to the Backup Portal

You have two options to log in to the 365 Backup Portal.

  1. Log in via Nexetic Portal: https://portal.nexetic.com
  2. Log in directly to 365 Backup Portal: https://shield-cloud.nexetic.com

2. Find the content to be restored
 

OPTION 1: Search for files from the 'SharePoint & Teams Files' page 

Files backed up from SharePoint sites and Teams channels are available on a single page in the Backup Portal for easier navigation. To access them, click SharePoint & Teams files in the top menu.

You can search Teams or SharePoint files in the following ways:

  1.  Input text into the search field and select if you are searching SharePoint sites / Teams, SharePoint lists / Teams channels - or if you are searching for files and folders.

   2.  Browse the folder structure and select the correct folder. Teams locations are marked with a “people” icon , while SharePoint sites use a “folder” icon .  
 
Tip: You can simplify the view by selecting Show only backed‑up sites and teams. This filters out locations that are not backed up, making it easier to focus on the ones that contain actual backup data.

OPTION 2: Search for files from the 'Teams chats' page

You can also locate the files based on the chat or channel where the file was shared. Enter the Teams chats page. You can filter the teams and channels by typing in the Filter by team and channel box.

Once you have located the correct channel or chat, select it and if there are any files shared in that post or chat, you can see the button View channel files. By clicking it, based on the file location, you will land on the correct folder either on SharePoint&Teams Files page or OneDrive page and you can restore or download the files from there.

 

3. Select the restore options

You can restore an entire SharePoint site or Team from backup. If the original location no longer exists, or if the data needs to be restored elsewhere, you can choose a different site, team or folder as the restore destination.

You can also restore individual items such as SharePoint lists, Teams channels, folders, or selected files.

Step 1. Select what to restore

To begin, select the location you want to restore and click Restore → Restore Selected.

Step 2. Select the target location

By default, content is restored to its original SharePoint site or Team.

To restore a site, Team, list, or channel to another site or team, select Restore to another site and choose a different target from the Target site drop‑down menu. You can search by typing any part of the name.

Folders and files are always restored within the same site or team. They can be restored to the same folder or to a custom folder. Select Restore to a custom folder and enter a name; the folder is created automatically if it doesn’t exist.

Step 3. Select the snapshot date

By default, the most recent snapshot is restored. If you need data from an earlier date, select Restore from a past date and choose the desired day from the calendar. 

Step 4. Select permission options

You can include permissions in the restore by selecting the relevant options:

With site permissions – restores SharePoint or Team‑level permissions.
With file permissions – restores item‑level permissions for files, lists, and channels.

Select the checkboxes for the permissions you want to restore.

Optional: You can add a justification for the data restore. It will be saved in the Audit Log.

 

4. Start the restore

Start the restore process by clicking Restore. Please note that the restoration process may take some time. You can always track the progress of the restore task in Task Manager.

Note

If restoring to a different site or team and the target already contains a list or channel with the same name (e.g., Documents or General), the content is restored into the existing list or channel.

 

5. Option: Download single file versions

Click on the file to download it to the local workstation. You can see all the backed up file versions for the selected file on the right-hand side. Choose the correct revision and click Download. You can also initiate the restore for single file versions from here by clicking Restore; the advantage is that you can actually see which dates have a new version of the file.

Note

Download option is currently limited to single file versions only.
